GDPR Compliance and Email Archiving

With the implementation of the General Data Protection Regulation (GDPR) in Europe, MailStore has updated its email archiving software to ensure broader compliance.

Use professional email filing standards

Companies are increasingly facing challenges related to compliance policies, such as HIPAA and FERPA in the United States and GDPR in the European Union. On May 25, 2018, the General Data Protection Regulation (GDPR) came into effect. With Mailstore Server, you can rely on support for certain GDPR requirements. The software creates copies of all emails in a central email archive to ensure data security and availability for years to come. Mailstore Server has been inspected by an independent IT auditor who has declared that Mailstore Server is officially GDPR-certified. Emails are archived in a MIME-compliant format, adhering to the email standard defined in RFC 2045 and its successors. This helps meet compliance requirements and ensures that the data can be used outside of MailStore.

Retention Policies

Administrators can configure detailed storage policies, allowing them to maintain full control over the retention periods for different types of emails. They can specify when emails should be automatically removed from storage, thereby complying with the various retention periods that may be required by regulatory standards. These policies help customers meet their obligations under the European Union’s General Data Protection Regulation (GDPR).

Indianapolis International Airport

In this success story, Richard Edwards, IT Infrastructure & Security Manager at Indianapolis International Airport, explains why the airport chose to replace its email archiving solution (which it had used for over 10 years) with MailStore Server. Opened in 1931, Indianapolis International Airport is the largest airport in the U.S. state and the second busiest in the world for FedEx aircraft. The company had always used an email archiving solution, which ultimately proved to be expensive, complicated, and unreliable. For these reasons, and after an intensive evaluation period, the decision was made in 2011 to invest in a new solution: MailStore Server. According to Richard, the reasons included the low acquisition cost, system requirements, intuitive usability, and seamless integration into the existing infrastructure. In addition, throughout this process, the company was supported by a highly qualified, responsive team with documentation tailored to each testing phase.

Improvements made

After this solution was implemented, the emails that had accumulated over the past few years were extracted from the PST files and migrated to a central email archive to permanently reduce reliance on this type of file. Depending on the user group, predefined deletion rules removed previously archived emails from the server after 60 to 120 days (with the option to recover them). Mailbox quotas can thus be eliminated, and backup and restore processes optimized.

Strategic approach

However, the airport has revised its strategic approach and is now focusing on data logging. To prevent data loss and ensure compliance with legal requirements governing the availability and security of the company’s key data—whether for incoming or outgoing emails—these messages are now archived on the server.

With MailServer, users have access to search functions via the MailStore Client, the MailStore Outlook add-in, and MailStore Web Access. These options provide users with quick search capabilities for any email and attached file.
